At CIJ Academy, we have established the following rules and regulations to help create an ideal academic environment, minimize discomfort in communal living, and ensure a successful study abroad experience for all students.
We kindly ask that you carefully review and follow these policies to avoid any unintended disadvantages during your stay.
  • Enrollment Policy After completing the application form in full, please pay the non-refundable registration fee of USD 150. To ensure a smooth enrollment process, the full tuition fee must be paid at least 4 weeks prior to your departure. Once these steps are completed, your enrollment will be confirmed and you will be ready to begin your language program.
  • General Rules and Regulations
      CIJ Academy and the student shall fulfill the terms of the agreement based on mutual respect, good faith, and established principles. CIJ Academy commits to fulfilling its responsibilities as a dedicated administrator throughout the entire duration of the student’s program. Students are required to comply with all CIJ Academy regulations, as well as the laws of the Philippines and the Republic of Korea.
  • Notification Rule
      If a student encounters a problem that warrants expulsion or early return, CIJ must inform the student’s guardian (parent) or agency of the issue before taking any action regarding expulsion or early return.
  • Authority and Responsibilities of CIJ Academy
      If CIJ is unable to provide contracted services such as classes or dormitory accommodation due to business disputes, flight delays or cancellations, natural disasters, local circumstances in the Philippines (such as riots or emergencies equivalent to terrorism), force majeure, reasons beyond CIJ’s control, infectious diseases, or epidemics, CIJ and its agents shall bear no responsibility or liability. No compensation shall be provided under such circumstances, and this forms a fundamental part of the agreement between the student and CIJ or its agents
      2. CIJ Academy bears no responsibility for any loss, damage, or injury to persons or property resulting from extracurricular activities or events conducted without prior written approval from the school.
      3. CIJ’s responsibility is limited to incidents related to classroom instruction, textbooks, dormitory, cafeteria, and school facilities. Therefore, CIJ shall not be held civilly or criminally liable for any safety or other incidents that occur outside the school premises. In the case of minor students, CIJ may assume a guardian role only when a separate agreement with the parent or guardian exists. Otherwise, CIJ has no rights or obligations as a legal guardian beyond its responsibilities for education.
      4. CIJ Academy reserves the right to adjust its prices due to factors beyond its control, such as exchange rate fluctuations, tax increases, or other governmental actions.
      5. CIJ Academy reserves the right to modify course start dates, curricula, and programs at any time
      6. CIJ Academy reserves the right to use students' photographs for purposes such as notifying new student arrivals and providing services to agencies or parents.
  • Safety and Accident Policy In the event of unforeseeable and unavoidable accidents that occur suddenly (such as fights between students, injuries from falls, slips, or other objectively recognizable safety incidents of a similar nature), CIJ Academy shall promptly inform the student’s guardian of the situation and make every sincere effort to provide immediate medical treatment.
    Students and their representatives may not hold CIJ Academy liable for such force majeure incidents. Furthermore, CIJ Academy bears no responsibility for any accidents or other incidents that occur during personal outings or travel.
    As such, no additional compensation will be provided by the school. Compensation will only be available within the coverage limits of the international student insurance and travel insurance policies, which are mandatory upon enrollment through the student's agency. The responsibility for failing to obtain such insurance lies entirely with the student.
    Additionally, in cases of group activities organized by the academy, CIJ Academy assumes no liability for any accidents that occur due to individual actions taken without prior written permission from a school administrator.
  • Immigration and Stay Guidelines
    • 1. Pick-up / Drop-off
    • For pick-up, a fee of 1,500 PHP must be paid before departure.
      Drop-off service is not provided.

    • 2. Campus Transfer
    • For transfers between CIJ Sparta Campus and Premium Campus, students must submit a written application and have a consultation with an administrator. Transfers are possible on a biweekly basis, and a campus transfer fee of Php 2,000 must be paid prior to the transfer. Additionally, transfers between campuses are only allowed on weekends (Saturday and Sunday).

    • 3. Flight Booking
    • For students who have not confirmed an exact return date, please estimate a return date that aligns with the study period and provide it in advance. The student is fully responsible for any issues related to their flight, and the language academy assumes no liability.

  • Public Holiday
    • There will be no classes on official Philippine national holidays and special non-working holidays, and some school facilities will be unavailable. No compensation will be provided for holidays.
  • Potential Additional Costs Medical expenses, additional tuition fees, dormitory changes, textbook fees, electricity charges (as per meter), laundry fees beyond the basic laundry service (up to 3 kg per load is free), and other miscellaneous costs may be subject to price changes according to the language academy’s policies or local circumstances.
  • Deposit
      Students of CIJ Academy must pay a security deposit upon moving into the dormitory, based on their study period. This deposit may be used to cover unpaid textbook fees, utility bills (water and electricity), damages to public property, and any additional incurred costs during the study period. On the day of check-out, students must vacate the dormitory by 12:00 noon in order to receive the remaining balance of the deposit refund at the office.
  • Class Regulations
    • 1. Program Changes
    • CIJ Academy reserves the right to change the start dates, course curricula, and programs at any time deemed necessary due to unavoidable circumstances.

    • 2. Course Extension
    • Course extensions are possible, but students must consult with a school advisor and pay the extension fee at least 4 weeks in advance. Failure to do so may result in changes to the instructor or classes, or the extension may not be granted. Course extensions are only available in 2-week increments. The additional course fees must be paid to the Korean office or school office at least 4 weeks before the new course start date.

    • 3. Class Format
    • The basic class formats are one-on-one and group classes. However, if a student’s class choice is deemed inappropriate, the academy reserves the right to change the class format. Existing students’ classes will not be altered; changes can only be made for available time slots or with available instructors.
      Changes to class times and formats can only be made once a week during the designated class change period.

    • 4. Substitute Regulations
    • CIJ Academy reserves the right to reassign students to different courses if their level test results fall below the minimum required level or if their level is deemed too high. In the event of labor disputes, teacher resignation, or if a teacher refuses to conduct a student’s class, CIJ has the authority to assign a substitute teacher.
      If a teacher is absent, make-up classes or substitute lessons can be arranged during the student’s free time, on weekdays of the same week, or on Saturday, upon agreement between the teacher and the student.

    • 5. Textbook
    • After completing the level test, students may select their textbooks in consultation with the education manager. For group classes, students should discuss textbook selection with their group class teacher. All students are required to bring their textbooks to class. Failure to do so may result in the teacher refusing the student’s participation in the lesson or imposing other penalties.

    • 6. Absence and Tardiness
    • If a student does not attend class within 10 to 15 minutes after the start time, it will be considered tardiness. Arrival later than 15 minutes will be counted as an absence.
      Unexcused absences may result in a warning. If a student has two or more unexcused absences in the same class within two weeks, they will be prohibited from attending that class for four weeks.
      To resume classes after this period, the student must apply for a different teacher during the Saturday class change session.
      However, absences due to valid reasons, such as hospital visits for illness, will be counted as attendance if the student submits a written absence report to the office prior to the absence.

    • 7. Class Change
    • Class changes are scheduled through a lottery system held every Saturday starting at 9:00 AM at a designated location. Based on the lottery results, class changes proceed in the order determined from 9:00 AM onwards. Students who do not participate in the Saturday class change lottery or who arrive late will not be allowed to change their classes.
      During the class change, each teacher may only be requested for one class slot. However, if an immediate class change is deemed necessary due to a teacher’s sudden resignation or consecutive unexcused absences, class changes may be made regardless of the standard regulations.
      New students may change their classes at any time within 2 days from the start of their first class during office hours.

  • Dormitory Rules
      01. CIJ Academy is not responsible for the management of personal belongings. Valuables can be stored at the office free of charge upon request. The academy holds no responsibility for any loss, incidents, or accidents that occur due to failure to secure doors or lockers while using the dormitory..
      02. Students are responsible for bringing their own daily necessities such as soap, toothpaste, toothbrush, towels, and toilet paper.
      03. If you wish to change your dormitory room type, you may do so in 4-week increments after consulting with the person in charge, subject to room availability.
      04. No one other than language academy students is allowed to stay in the dormitory.
      05. Cleaning is conducted on designated days for each room. For laundry, items should be prepared before 12:00 PM on the specified day.
      At the Premium Campus, students should place their laundry baskets in their room’s living area.
      At the Sparta Campus, students must fill out a laundry list and submit it to the laundry staff.

      06. Laundry and cleaning services are provided twice a week. Bed sheets and blankets are changed once every two weeks for those who request the service.
      If you wish to have an additional change outside the regular schedule, there is an extra charge of Php 100 for bed sheet and pillowcase replacement, and Php 200 for blanket replacement.

      07. High-value clothing or items that cannot be washed with water must be washed by the student themselves. Shoes, hats, and similar items are not included in the laundry service.
      Laundry items that may be discolored or damaged due to shared washing must also be washed by the student personally.

      08. The academy is not responsible for any damage or discoloration of laundry items.
      09. Smoking, drinking, and cohabitation or overnight stays between male and female students are strictly prohibited in the dormitory. Violations may result in warnings and possible expulsion. Accumulation of warnings will lead to expulsion from the academy.

      10. Quiet hours are from 9:00 PM to 7:00 AM the following day to respect other students’ sleep. Noise disturbances within the academy during this time may result in a warning.
      11. When leaving the room, please turn off the air conditioner and lights.
      12. The academy reserves the right to inspect dormitory rooms at any time if it deems there are violations of regulations or necessary inspections. For cleaning and maintenance purposes, staff may enter rooms without the student’s permission, even if the student is not present.

      13. CIJ is not responsible for any civil or criminal issues that may arise from the loss of a room key.

      14. Guest visits are allowed only with the administrator’s permission. Guests are not permitted to enter student rooms and must remain in designated areas (such as the lounge). If you wish to go out or stay overnight with a guest, prior approval is required.
      If you do not extend your registration at least 8 weeks before the end of your stay, the office will assign rooms at its discretion. Therefore, please register for an extension at least 8 weeks in advance.
      Upon check-out, students must vacate their rooms by 12:00 PM on the registration deadline. Students who have not registered cannot overstay.
      In exceptional cases (such as flight cancellations due to weather), an overstay fee will be charged per day based on room type: Php 1,500 per day (including meals) for double rooms, Php 2,000 for single rooms, and Php 1,200 for triple or quadruple rooms. The same fees apply to guest visits approved by the academy.

  • Curfew hours
      CIJ Academy enforces the following curfew hours to ensure students’ safety and successful language study. Violation of the curfew will result in a warning, and repeated warnings may lead to expulsion.

  • Outing and Overnight Stay Regulations
      CIJ Academy prohibits unauthorized overnight stays and outings outside of curfew hours to maintain a productive learning environment and ensure student safety. If unavoidable outings or overnight stays are necessary due to travel or visiting relatives, students must submit a travel plan and obtain prior approval from the office. Failure to comply may result in warnings or expulsion.
    • 1. Outings and Overnight Stays
    • For the Premium Campus, outings are allowed up to 4 times every 4 weeks, and overnight stays are allowed once every 2 weeks per approved applicant. Outings and overnight stays are only permitted after submitting the required documents and receiving approval from the designated manager in advance. Violating curfew without prior approval will result in a warning for curfew violation. If a student cannot use the approved outing or overnight stay due to personal reasons, it will still be considered as used, and no refunds or compensation will be given for unused outings or overnight stays. Applications for outings and overnight stays can only be made during office hours from Monday to Friday; applications made after office hours will not be accepted.

      At the Sparta Campus, outings and overnight stays are only allowed on weekends (Friday and Saturday). Students must submit the required documents and obtain prior approval from the designated manager before any outing or overnight stay. Violating curfew without prior approval will result in a warning for curfew violation. Outings during weekdays are prohibited. In unavoidable cases, students must receive prior permission from the academy and may only go out during the designated times. Outings are permitted starting from the designated time on Friday afternoon as specified by the academy.

    • 2. Travel Plan and Travel
    • If you plan to travel during your language study period, you must submit a written travel plan to the CIJ staff and obtain approval before your trip. After your travel, you are required to submit proof of travel such as accommodation receipts and photos to the office. Failure to provide evidence of your travel will be considered an unauthorized absence and result in a warning. Additionally, any class absences due to travel will be treated as regular absences.

    • 3. Contact During Overnight Stays and Travel
    • During your language study period, if you stay overnight outside the dormitory using an overnight stay permit or travel plan, or if you must stay overnight in the dormitory for unavoidable reasons, you must contact the CIJ staff by phone, text message, or internet messenger (Kakaotalk / Line, etc.) between 9:00 AM and 12:00 PM the following day. If the student fails to make contact within the specified time, usage of travel plans, overnight stay permits, and outing permits will be prohibited until the weekend of the following week.

  • Warning and Dismissal/Check-out Regulations
      1. CIJ Academy issues warning notices to students who violate the academy’s rules regarding conduct and class regulations.
      2. When a warning notice is issued, a student consultation will be conducted. Upon the final warning, consultations will take place along with notification to the language agency and the student’s family. Students must strictly comply with CIJ’s warning regulations, and accumulation of warning notices will result in immediate dismissal without any refund.
      3. At CIJ Academy, to prevent fire hazards, the use of all items that can cause fire—such as gas burners, coffee pots, candles, matches, and lighters—is strictly prohibited. Violation of this rule will result in immediate expulsion.
      4. If a student discontinues their study for personal reasons, all contracts are considered fulfilled from the point of discontinuation and handled according to the refund policy. After that, the school holds the authority over the management of classes and dormitory arrangements. Additionally, unexcused absences will result in a warning, and repeated unexcused absences will lead to immediate expulsion without any refund.
      CIJ Warning Regulations
      • Entering Another Student’s Room (If cohabitation between opposite sexes is detected in the dormitory, immediate dismissal without refund will be enforced.)
      • Entering the opposite sex’s room and cohabitation will result in immediate dismissal without any warning.
      • Bringing alcohol, drinking, and gambling are strictly prohibited. If caught, immediate dismissal will occur without any refund.
      • If a student is booked by the local police, immediate dismissal will occur without any refund.
      • If a student leads others for unlawful purposes or organizes gatherings that cause damage to the school, immediate dismissal without refund will occur, and the student will be liable for compensation for damages.
      • Allowing outsiders to enter the dormitory without prior approval from the management will result in immediate dismissal without refund.
      • Unauthorized modification of dormitory rooms is strictly prohibited and will result in immediate dismissal without refund.
      • Bringing hazardous materials into the dormitory is strictly prohibited and will result in immediate dismissal without refund.
      • Any damage caused to the dormitory building, facilities, or equipment will result in immediate disciplinary action, including possible dismissal and financial liability for repairs.
      • Any behavior that disturbs or harms other students (such as loud noise, playing music at high volume, etc.) is strictly prohibited and may lead to disciplinary action, including warnings or dismissal.
      • Engaging in political activities, assemblies, or religious activities within the dormitory is strictly prohibited.
      • Raising livestock or pets in the dormitory without permission is strictly prohibited.
      • Engaging in commercial activities within the dormitory is strictly prohibited.
      • If a student is absent from class without submitting a written absence notice, it will be considered an unexcused absence.
      • Entering places such as casinos and KTVs that are inappropriate for students is strictly prohibited.
      • Unauthorized overnight stays and violating curfew hours are strictly prohibited.
      • Any behavior deemed inappropriate for a student according to other CIJ Academy regulations will be subject to disciplinary action.
      5. CIJ Academy issues warning letters based on different registration deadlines as follows. When a student receives a final warning, immediate notification is sent to the study abroad agency and the student’s family, and the student’s name is posted on the academy’s bulletin board. Additionally, students enrolled for less than 4 weeks will receive a final warning immediately upon violating the rules, followed by the signing of a memorandum and a counseling session.

When extending at CIJ Academy, the accumulation of warning notices continues from the final warning issued during the original registration period, with additional warnings counted during the extended registration period. (For example, after an 8-week registration followed by a 4-week extension, the final warning will be issued at the 5th warning count.)
